Delivery Periods

  1. When you create a Programme Collection it does not give the delivery period for each course in the collection. When you look up each course there is no delivery period either. Why?
  2. Do I always have to specify a delivery period?

General

    1. How do I create a DPT for a new programme ?

When a new programme has been approved, EUCLID support should be contacted to request that the programme be set up in EUCLID.

Once the programme has been created, a task to create the DPT for that programme will be sent by EUCLID Support to the relevant Curriculum Management Group Intray. All DPT Editors will have access to their schools group intray.

    2. Can I copy an existing DPT to create a new DPT ?

Yes, an existing DPT can be copied to create a new DPT. For instructions on how to do this, please go to the Staff User Guide, Curriculum Management Section.

    3. Is it possible to create a Programme Collection by copying an existing Programme Collection and saving it under a different name?

It is not possible to do this at this stage. A request for this enhancement has been logged and will be implemented shortly.

    4. Do Subject Collections contain all courses migrated from Wisard irrespective of whether they are open or closed ?

Only in use courses, which have the subject held in Wisard as home subject or 1st of the other home subjects, will be displayed on the Subject Collection.

    5. Is there a facility to select a course that runs for the full year?

Yes, there is a facility to select a course that runs for a full year (Semester 1 & Semester 2) in EUCLID.

    6. Is it possible to amend course codes on Euclid to reflect a different home subject?

No, a course code cannot be changed as this is a unique identifier in the system. During migration the course code in EUCLID was derived from the home subject area in DACS (Wisard).  A new code can only be set up by creating a new course in DACS with a different subject area.

    7. What collections should I use if I want to offer outside courses?

The collection prefixed SCH_A-Q/T (with the relevant level of course) should be used. If however you wish to exclude the School of Biomedical Sciences, then the prefix SCH_A-Q should be used.

8.What happens to course changes made in DACs? How will these be updated in EUCLID ?

There is an overnight batch to bring all new courses (and those amended) from DACS into Euclid.

    9. If a programme is to be phased out, how do I reflect this in the DPTs?

A DPT for a given year of a programme will only be published if:

For example, if a programme is being phased out and is only available for years 3 and 4, then as for the process for a programme that is still being delivered, the DPT for year 1 should be created and published as well as those for years 3 and 4. However the year 1 DPT should be blank except for a note advising that there will be no further admissions to this programme and that it is only available for years 3 and 4.

An enhancement request to allow the publication of only the relevant years has been logged.

10.When will changes made to the DPTs in EUCLID be published to the web ?

Following the go live of the DPT publishing functionality, every Saturday a job will be run to update the DPTs visible on the Degrees Regulation Programmes of Study (DRPS) with the changes made in EUCLID. These changes will then be visible on the web on Sunday morning. The weekly update is scheduled to commence from the 2 May.

11.Can I set a maximum and minimum credit range for a single course option?

A minimum and maximum credit range can be applied to course collections. By creating a programme collection containing a single course it is possible to then apply a min and max credit range to that collection.

    12. If a collection contains a course which is not currently running, will that course be displayed in the DPTs?

If the collection is a ROU collection, all courses will be displayed, regardless of whether they are currently in use.

If the collection is a SUB collection:

    • if the course is in the collection because it has the subject prefix ("all level n courses with a primary subject of ..."), then it will only be displayed if it is in use,
    • however, if the course does not have the subject prefix, it will be displayed regardless of whether it's currently in use.
    • This has been noted as possible enhancement, however for now we suggest that schools should remove any courses not currently in use from their collections.

      Delivery Periods

      1. When I create a Programme Collection it does not give the delivery period for each course in the collection. When I look up each course there is no delivery period either. Why?

The creation of the Programme Collection is independent to the DPT. It is when the collection is added to the DPT that the user has the option to specify the delivery.

The course delivery period is not held on the course, but on the course instance (child of course record). The DPT specifies which delivery period is valid.

      2. Do I always have to specify a delivery period?

There are two instances when a delivery period does not have to be specified:

      • If the course is only ever delivered once in an Academic Year (eg in Semester 1). If a student takes the course they will be scheduled onto the Semester 1 delivery (However, for clarity you may still wish to specify that the course must be taken in Semester 1).
      • If the course is delivered more than once in an Academic Year (eg in Semester 1 and Semester 2). The student can be scheduled onto either delivery.
