How do I report on outstanding clearance checks for applications?

 

Clearance Check functionality with the EUCLID system is designed to request outstanding information from applicants e.g. Missing Personal Statements, Degree Transcripts etc, but can also be used to retain other applicant information useful got internal administration needs such as Withdrawal reasons, Application change requests  and application scoring.

Due to the variety of information kept under Clearance Checks many of the fields have been used for multiple data retention, for example, one field is used for retaining information regarding Despatch Date, Date Returned, Amount Due etc, the function of the field dependant on the Clearance check.

To help report writers in getting the right objects for the Clearance Check an appendix has been supplied detailing the object appropriate to the information required for each and every Clearance check. An example of how to use this appendix can be seen below:

Example 1 – Running a report on applicants who are required to complete a Criminal Record Check (Post offer)

The example below describes the steps taken to create a basic report to return data on all applications who have had a Criminal Records Check (post offer) issued.

Step 1 – Selecting the objects to report upon

To create a basic report to return all applicants with an outstanding Criminal Records check the following objects are required:

Select the objects noted above and move them into the Results Objects area.

Step 2 – Selecting the objects to filter upon

Move the following objects from the Results Objects area into the Query Filters area:

  1. Academic Year Code
  2. Applicant Status Description & Code
  3. Clearance Check Description

Step 3 – Selecting the values to filter upon

We now need to select the values within the objects noted above to filter the data we need.

To filter on these values click on the InList operator EUCLID Screenshot found on each object within the Query Filters box

For example for Academic Year Code click on the InList operator

Select Value(s) from list

Click on 2009/0 from the Academic Year Code list of values for selection and then click on the EUCLID Screenshot button. This will move the value into the Value(s) Selected box.

Click on Ok to complete the value selection.

The Object should now be displayed as below:

Click on the InList Operator for the following Objects within the Query Filters area and select the value as described.

Step 4 – Running the query

You can now run the query to view the report by clicking on the EUCLID Screenshot button.
