Create a Programme Collection

To create a new programme collection, select the Create Programme Collection link from the DPT Collections menu.

The Create New Programme Collection screen opens containing a series of drop down menus and free text fields that enable the collection code and name to be built.

At the top of the screen there is a description of the standard programme collection code structure, this can be seen more clearly below:

The code created will be in the following format: ROU_B-B_C/C/C_AAAAAAAAAAAAa_D-D, where:

'ROU_' is fixed and identifies that this is a Programme collection
'B-B' indicates a range of Schedules (schools) the courses can be drawn from (optional)
'C/C/C' indicates individual Schedules (optional and up to 3 individual Schedules)
'AAAAAAAAAAAA' is the Programme Code, or a code of your own if the collection is going to be used in multiple Programmes
'a' is a sequential number to differentiate between two otherwise identical collections (system generated)
'D-D' shows which SCQF levels the courses in the collection are at (e.g. 8-9)

In addition to this, each field has its own guidance note in the right hand column.

The Prefix field defaults to ROU_ and cannot be changed. This ensures all programme collections begin with the same prefix allowing them to be easily retrieved when needed.

The Programme field contains a dynamic list box that can be used to identify the programme of study code that the collection will relate to.

Follow the guidance note to help retrieve and select a specific programme code or alternatively type in free text up to 12 characters as a reference.

If multiple programme collections are created using the same programme code, the system will add an additional incremental digit to the end of the programme code to ensure the collection code that will be created remains unique.

The following fields relate to the School Schedules that courses will be drawn from for the new programme collection. At least one school schedule must be selected from the Schools/Schedules – Range dropdown list.

If courses for this collection will all be drawn from a single school schedule, select this school from the first drop down list in the Schools/Schedules – Range field.

This will populate the field with the selected school schedule details.

To identify a sequential range of school schedules that will own courses included in the collection, select the last school in the range from the second dropdown list in the Schools/Schedules – Range field.

If the courses in the collection will be drawn from several school schedules that are not in sequence then use the School/Schedule dropdown lists to select up to three additional schedules.

In the example above, both Schedule E and Schedule G have been identified as the schools which will own courses in this collection.

Finally, the SCQF level of the courses to be included in the collection needs to be identified. Either select a range of SCQF levels using the drop down lists below or if there is only one level, select it from the first drop down list and leave the second blank.

In the example below SCQF levels 7 and 8 have been selected.

Ideally it would not be necessary to alter the system generated Collection Name however the field is editable and can be manually updated to more accurately reflect the collection.

The programme collection has been created and is ready to have courses added via the Amend Collections link in the DPT Collections menu
