1. Overview

Clearance Checks can be added to an application through the ACD screen and will generate a message to the Applicant’s In-Tray advising them of any additional action that they need to take.

Some Clearance Checks are automatically generated, eg. ISCORE and ISELSC. These are used in the Screening/Scoring Tasks.

2. Adding a Clearance Check

Select Clearance Checks from the drop down list at the top of the screen and click on Go

This will display the Student Clearance Checks Screen, which will show any existing clearance checks for the applicant.

Click the Add button.

The applicant’s student code will be displayed next to the clearance check.

Now choose the appropriate type of clearance check - (Click on List in the Clearance Column to view the possible Clearance Checks, then use the Select button to choose the one you want.)

Check that the correct Programme code for the application you are dealing with is displayed, if not over-type this with the correct programme code.

Selecting the Mandatory checkbox will prevent a successful Applicant from proceeding to Student status until the clearance check has been updated to a status of Passed.

The Date due defaults to todays date. Overtype this if necessary.

Select the Store button.

NB  If more than one Clearance Check is to be added, click on the ‘Re-retrieve’ hyperlink to ensure the next clearance check sequence number is obtained.

Now navigate back to the ACD screen and update the Qual. stat.field to H (Holding). This indicates that a Missing Information Clearance Check has been added.

Select Store

3. What Happens Next?

When the new Clearance Check has been stored, the EUCLID system will send a message to the applicants Intray. This message will display the action that the applicant needs to take.

When the missing information is provided by the applicant, the Qualification Status in ACD should be updated appropriately.

If the In-tray message has not been opened by the applicant within 5 working days a reminder email/letter will be generated to the Applicant.
