1.1 Which staff will get this new function?

Staff with the EUCLID roles for the following:

  • School power users
  • Personal Tutors
  • Principal Supervisors

There is also a new staff role in EUCLID setup for temporary staff, to utilise this role.

1.2 Who is responsible for entering data from student administration tier 4 event, exams, etc.?
  • Census Events: Student Administration
  • Exam Non-attendance: Student Administration (marking single exams, but then escalating at a given level)
  • All other: Schools

Do we have to upload all 10 contact points or are the following already recorded/recorded by other, so we don't have to

- Confirmation of attendance

- Attendance at Registry exam

- Attendance at PT meeting (recorded via notes by PT)

- Tier 4 census

No. Only the ones schools are responsible for i.e. Census points already there.

Exams cannot be used by the school - Student Administration are recording non-attendance at these and chasing.

Census point/Attendance Confirmation will all be on EUCLID if you go into the Immigration overview you can see all of theses side by side for a student.

You need to record PT meeting if using these - this may change in the next phase of software release.

1.4 Does the student see the information held on their record? Not currently, but please bear in mind that this may be displayed to the student in the future so the event records need to reflect this.
1.5 For some PG programme attendance is marked on the basis that course work was submitted. Would it be possible to auto update these engagement events where the student has a mark recorded? This relates to system integration which will not be part of this software release.
1.6 It looks like the Personal Tutor will be asked to double key student attendance i.e. confirm attendance in the PT software, and again in the Engagement Monitoring software. Can this not be automated? See above.
1.7 We use the ‘Mobility’ software (supported by International Office) to record student engagement (e.g. Evidence for Erasmus grants) – Are we able to download this engagement into a csv file for EUCLID upload? See above.
1.8 Will the student's be able to see their engagement events in MyEd? This was initially available for the PGR tier 4 students within MyEd, however, the decision was made to disable this view until to allow schools to familiarise themselves with the new software, with a view to reappraise the situation in the Scope Review in November.

2.0 Engagement Event Creation

2.1 Will we be able to create engagement events for students who are 'Class only'? Yes
2.2 Is there a limit to the number of courses you can create/update engagement events for? No
2.3 What's the maximum character limit for the event Notes field? None.
2.4 If a student received their final award will this remove them from display when recording attendance? Yes.
2.5 We have to enter Y/N/E against the event. What is 'E'? E=Exempt, for example, the student did not attend but for a valid reason.
2.6 For the 'Attended?' value, 'No' could mean the student didn't attend or it could mean we don't know if they attended. Can we have another value to indicate the difference?

There are actually 4 distinct statuses that can be put in the field:

- Blank (No action required)

- Y (Attended)

- N (Non Attended

- E (Exempt

So if you load all the events with a blank value in there then you have the 4 status's which you want to report on.

NB The 'blank' value will be reportable in BIS.

2.7 Can there be a bulk delete option for engagement events? This is being looked into, but will not be available in this release.
2.8 Are there any restrictions on creating/editing events outwith your school? No. It was agreed this should be open to everyone with the role to cope with scenarios where student are studying outside courses.
2.9 Is the notification to the PT/Supervisor an actual email? Yes.
2.10 Who is the Organiser within EUCLID? This can be anyone the school wants, just as long as they are in EUCLID.
2.11 Is there anything to stop you creating an engagement event twice by mistake? No. EUCLID has no validation applied. This is intentional, as multiple engagement events may be created for the same course, date, event, etc.
2.12 Can there be a bulk delete function? Yes. This is being developed in time for the release.
2.13 We intend to use the Student Support staff member's name within the Organiser field, rather than the event Organiser - is this okay? Yes
2.14 What does the Notify Supervisor email look like?

2.15 I'm unable to select a course from the dynamic list field when trying to create an engagement event. What should I do? Once you have identified the course you want to create an event for, remember to tab out of the field. This will add the course to the list above the field.
2.16 In future, when students can view the Engagement Events, will they be able to see the internal Notes text? Yes.
2.17 When you click on the Notify PT/Supervisor button for multiple engagement events, where the PT/PGR Supervisor is different for each student selected, will a separate email be issued out to each PT/PGR Supervisor? An email will be issued for each event to the relevant supervisor or PT.
2.18 It looks like I've created an engagement event, but there is no record created, why is this? There is a bug where the inclusion of '&' within the Description field will cause the event creation to fail. This is being worked on as a matter of urgency.

3.0 Does the file upload work on all supported browsers? * Please note that the CSV file upload does not work within Internet Explorer. Please use an alternative browser.

Can we have a list of applicable codes for the CSV file?

Only the Event Type column requires codes:

ANNREV: Annual Review

ATTEND: Attendance

CRSWRK: Course Work

EXAMAT: Exam attendance

INDUCT: Induction

MEET: Meeting

OTHER: Other

3.2 Do we need to remove the UUN instance for the CSV file to work? Yes
3.3 Would you need to know the Organiser's EUCLID code if you wanted to include this in the CSV file upload? Yes - however, it's better to do select all in the software and just allocate to the events this way than through the file.
3.4 I assume we can add names/other info to the report as long as there are the required fields outlines in the briefing note? Unlike the XML files that we used previously for award and mark upload, the CSV file format cannot be modified (e.g. columns moved, added)
3.5 Is there a maximum number of student rows per uploaded CSV? 1000
3.6 Can I upload a single CSV file for multiple programme engagement events? Yes. However, you cannot do this for engagement events at a course level i.e. one course per single file.

4.0 Business Intelligence Suite Reporting

4.1 Is there a BI report to retrieve the attendance/engagement information in EUCLID? We are working on a report at the moment.
4.2 Are the CSV files for events in a BI report that is already created? There is no existing BIS report for downloading into the CSV file template. The student UUN is the only data we could download from BIS, as the other data required is specific to engagement events details e.g. type, date, description, attendance, notes.
