Uploading parent/child course group lists

Introduction

This enhancement to the Recording Registers EUCLID software was introduced in early August 2015, and provides school administration staff with the means to create registers for courses that include students for multiple different course groups. Attributing students from other courses to the same parent course, for the purposes of recording registers.

Please note this facility can only assign child course registers to a parent course register where the parent course code is different from the child. If they are the same, there is no need to use the parent course facility.

Setting up Parent Course Groups

This functionality has been introduced to cope with the fact that certain tutorial groups contain students from multiple courses in one group for example “Visiting” students in groups combined with “normal” Undergraduate students or all students with an element of one language in their course being in one tutorial group.

In order to produce a single register for this type of group we have introduced the concept of a parent course which is then the driver for all “child” groups which are linked up to it. The parent child relationship is defined with the file.

If NO parent fields are defined then the functionality behaves as before with all the course groups behaving independently.

So in file below MBCH10016 has group 1/group 2 and group ALL which are then linked up to the equivalent groups for MBCH10017.

Note Tutors are held at the Parent Level only and this means that on their list tutors will just see the details for MBCH10016 and the

When a register is pulled up for Group 1 for MBCH10016 the register will also include the linked course MBCH10017 for its group 1.

On the admin screen the user will be able to see the parent groups and the register made up from students from the different courses and how many are from each see below.

Please note: When you load a group register file using the patent/child facility, you should not try to load the parent register separately from the child/parent file, otherwise this will fail.

Please note: only when there are new or fully matriculated students enroled on a course for register utilising the ALL facility will the child group header(s) appear in the parent register. This is also the case when the register.csv file has not been uploaded yet.
